Most event companies hand you a list of suppliers and call it planning. BTQ Events manages production — the technical, logistical, and creative execution of your event as a whole. This requires a structured framework, not improvisation. We don't delegate technical decisions; we own them from brief through final debrief.
Our five-phase process has been refined over 10+ years of event production in Portugal. It ensures that every decision is made at the right time, every supplier is accountable, and every event day runs exactly as designed. Whether you're planning a 50-person executive briefing or a 400-guest gala, the framework is the same — the complexity scales to your project, but the rigor remains constant.
01 — Briefing
The brief is everything. In our first conversation, we ask about your event objectives, your audience, your budget, your brand, and your constraints. We are not trying to sell you a package — we are learning what success looks like for you. We ask the questions most clients haven't considered yet. At the end of the briefing phase, we produce a formal event brief document that both sides sign off on. This document becomes the reference point for every subsequent decision.

02 — Concept
We develop a concept for your event — venue options, creative direction, production approach, and a preliminary budget framework. This is where your event takes shape on paper. We present 2–3 distinct directions and refine based on your feedback. The concept phase typically takes 1–2 weeks and results in a creative deck you can share with internal stakeholders. We provide clear rationale for each venue recommendation and explain the creative thinking behind each concept direction.

03 — Design
Once the concept is approved, we move into detailed production design. Floor plans, AV specifications, lighting diagrams, vendor selection, timeline development, supplier agreements. This is where production precision happens — every decision is locked down before any money is spent with vendors. Nothing is left to the day. We develop comprehensive technical specs and run-of-show documentation. Suppliers receive a formal brief outlining their role, technical requirements, and integration points with other vendors.

04 — Production
In the weeks before your event, we manage all production logistics: venue prep, technical build, supplier coordination, rehearsals, delegate communications (where applicable), and final walkthroughs. Our production team is on the ground throughout the build. You receive daily updates. Nothing surprises you. We conduct technical tests, schedule vendor rehearsals, and confirm every detail with relevant stakeholders. This phase confirms that the production plan works in the actual venue with the actual team and suppliers you have contracted.

05 — Execution
On the day, our production team is fully deployed. We manage the venue team, technical operators, catering, entertainment, and all event logistics in real-time. You are free to host, present, or celebrate without managing operations. Our team handles guest arrival, programme timing, technical operation, vendor coordination, and any on-the-fly adjustments. After the event, we deliver a post-event report including attendance data, timeline review, vendor feedback, and any relevant media assets.

About Our Process — FAQ
Event planning typically involves vendor coordination, logistics scheduling, and budget management. Event production includes all of that plus hands-on technical execution, creative direction, on-site management, and quality control. We own the entire production — from the first creative conversation through the final debrief. You are not managing vendors; we are.
Your role is to make strategic decisions at key phase gates: approving the brief, selecting the venue concept, confirming the production plan, and being available for final walkthrough. Day-to-day production logistics are managed by BTQ Events. You should never feel like you are running your own event.
Yes. If you have established relationships with vendors (AV companies, caterers, entertainment, florists, etc.), we can integrate them into the production plan. We will ensure they understand the brief, meet our technical standards, and integrate seamlessly with other suppliers. All vendor management and accountability remains with us.
We have contingency plans for every critical element — backup AV equipment, alternative technical solutions, backup power, etc. Our production team is trained to solve problems in real-time without disrupting the event. We manage timing flexibility, have buffer time built into the schedule, and can adapt on the day while maintaining the core event experience.
